Program Manager – Luxury Mega Yacht

The Program Coordinator primary responsibility is to support the Program Manager to develop and deliver all programming events and activities and perform all administrative duties for the Department.

Responsibilities

  • Send calendar invitations for all Program Division related matters, i.e. meetings, events, activities, contractor details amongst others
  • Proofread all printed documents and publications related to the Program Division and as required by the Hotel Department
  • Prepare daily updates for the Resident intranet (Navigator)
  • Reference and update internal planning tool (Tapestry) as required
  • Enter all on-board activities in the Navigator App using our internal planning system CMS
  • Coordinate the scheduling and payment of piano tuning
  • Track Program Division yearly budget/spending
  • Fully utilize MMS to track purchases and submit orders
  • Process Program Division receipts for reimbursement
  • Maintain destination specific materials such as books and DVDs, including advance planning and ordering of all books and DVDs
  • Conduct an inventory of Program Division shipments and distribute accordingly
  • Assist in maintaining inventories and monitor the Program Division storage and locker spaces
  • Assist Program Division with research of external content and information
  • Submit work orders (AVOs) through IssuTrax and follow up to ensure these requests are completed
  • Participate in the ongoing creation and updating of SOPs (standard operating procedures)
  • Additional duties as needed such as Ship tours, zodiac landings, Marina days, Expeditions, and other activities when required.

Hiring Requirements

  • Minimum of 3 years’ relevant experience on a luxury cruise ship, private country club or similar, luxury hotel or resort
  • Secondary Education highly preferred
  • Strong organizational and planning skills
  • Comfortable with presenting to an audience and public speaking
  • Advanced computer skills to include Word, Excel, PowerPoint and Outlook
  • Experience working in a multi-cultural environment
  • Able to read, write and speak fluently in English
  • One or more additional language preferred
