The Hotel Inventory Manager’s primary responsibility is the management and oversight of the onboard Hotel storeroom inventories and accurate reporting of inventory data. This position analyzes daily product and supply levels to anticipate inventory issues and shortages as well as manages schedules of deliveries and shipments to optimize The World’s unique operations. The Hotel Inventory Manager also audits all invoices and requisitions of incoming and outgoing products to and from the main Hotel storeroom and is responsible for the monthly closing of the Inventory System and submitting various reports to onboard and shoreside Management.

Responsibilities

  • Regularly update relevant Division Heads and Department Heads regarding stock rotation, par levels and inventory discrepancies
  • Partner with F&B Manager and Executive Chef for Hotel stores’ inspection once a week
  • Maintain a constant flow of communication with Shoreside Purchasing Department regarding all relevant Hotel Stores matters including but not limited to purchases, stock quality, loading issues and supplies
  • Coordinate local purchases with local suppliers while keeping Shoreside Purchasing Department updated
  • Supervise loadings and actively manage the operation shoreside, liaising with the Head Hotel Storekeeper until the operation is complete
  • Prepare and forward loading reports to Shoreside Purchasing Department
  • Conduct monthly inventories in accordance with Company procedures
  • Ensure that items delivered to the vessel comply with Company specifications
  • Monitor slow moving item reports to ensure proper stock rotations (FIFO) and that discontinued items are not being reordered
  • Enforce Bar Outlets Inventories (including In Residence Dining and Fredy’s) on a monthly basis
  • Maintain all inventory and storerooms according to required standards; conduct inventory counts accurately and identify cost and expense reductions
  • Conduct unscheduled spot checks outside the planned inventory agenda with the assistance of the Head Hotel Storekeeper
  • Continually monitor the inventory received, issued, spoilage, breakage and transfers
  • Maintain and communicate all budget, targets and slow moving files on a daily/weekly/monthly basis to the relevant parties
  • Prepare the End of Month Files and MMS Reset Period on a monthly basis
  • Reconcile inventory levels with Management and investigate discrepancies
  • Develop, manage and adhere to the hotel operating and revenue budgets; contribute to the Ship’s 10-year financial plan; submit monthly financial reviews and forecasts
  • Develop and manage Capex projects for the division
  • Place orders according to the provisioning schedule and based on budgetary guidelines; maintain par stock levels; minimize waste and breakage
  • Manage manning par levels and vacation schedules in a cost effective manner, monitoring overtime and ensuring team members are scheduled according to operational needs
  • Prepare the financial report of operating expenses and cost analysis
  • Keep the Chief Accountant informed on relevant financial matters
  • Ensure that all inventory movement (issues and returns) are accurately documented and approved by the appropriate Managers
  • Create the yearly Training Wishlist; monitor the monthly training budget and provide reforecast in the monthly Financial Report

Hiring Requirements

  • Minimum of 5 years’ relevant experience on a luxury cruise ship, in a private country club or similar, luxury hotel or resort
  • Degree in Hospitality Management, accounting, business administration, inventory management or related field preferred
  • Previous experience in the Finance / Accounting / Supply Chain field of luxury hotels and/or cruise line brands
  • Strong accounting skills required
  • Excellent understanding of Finance and Inventory Management
  • Outstanding knowledge of cost control and budget allocation
  • Excellent administrative, planning and organizational skills
  • Good problem solving skills
  • Valid certification for forklift operation
  • Experience working in a multi-cultural environment
  • Good computer skills to include Word, Excel and Outlook
  • Working knowledge of point of sales systems, inventory management systems, Fidelio and computerized reservation systems
  • Should be self-directed, but also have the ability to work well with others
  • Able to read, write and speak fluently in English
  • One additional language (German, French, Italian, Spanish) preferred
