Responsibilities

The responsibilities of the Clearance Officer will include, but not be limited to the following:

  • Ensures the smooth and timely clearance of the vessel on the arrival and departure in each port
  • Ensures concise communication with Port Agents on behalf of vessel and facilitate prompt processing of vessel’s requirements with port authorities/representatives by preparing required paperwork
  • Responsible for ensuring all manifests and documentation required by local authorities as obtained and submitted as per deadlines provided by the Port Agent and/or local authorities
  • Communicates with the Port Agent to ensure that the vessel is cleared on time and all related matters are sorted out
  • Coordinating all vessel communication with Port Agent to streamline e-mails sent to the Agents
  • Arranges services as required by Ship Managers (i.e. Garbage / Fresh Water / Shore-side Labor / In Port Shuttle Bus / Local purchases etc.)
  • Ensures timely production and distribution of various onboard lists as required by SOLAS on departure from each port
  • Ensures timely production of Resident, Guest & Crew manifests on departure from each port, places the lists on the appropriate share-drive and advises vessel accordingly
  • Maintains a Ship Disbursement Account for services requested at each applicable port; forward to Chief Accountant & Port Operations Manager at the end of each month
  • Assists Ship Security Officer prior to departure to ensure all souls onboard are accounted for
  • Assists in achieving the budgets by minimizing waste and breakage and maintaining proper handling procedures
  • Strong organizational skills

Hiring Requirements

  • Minimum of 3 years’ experience as a Clearance Officer or Purser on an ultra-luxury World Wide Cruise Ship
  • Previous ship experience in the capacity of Purser or other positions performing vessel clearance and communicating with Port Agents
  • Solid progression through the ranks
  • Hotel School Degree or Foreign equivalency and/or 3 years’ experience as a Clearance Officer or similar position
  • Working knowledge of Fidelio computerized system
  • Good computer skills to include creating and working with spreadsheets, Word, Excel and Outlook
  • Is able to read, write and speak fluently in English and does so at all times whilst on duty
