Relief Marine/Logistics Coordinator – Luxury Residential Mega Yacht

We are searching for a passionate and talented Relief Marine/Logostics Coordinator to join our elite onboard team.

As Marine Coordinator, he/she will conduct administrative duties for the Marine Management Team on board, and will have full familiarity and responsibility for the safety, organization, and emergency plans for maintaining a secure vessel. As a Logistics Coordinator, the incumbent will be primarily responsible for coordinating on-loads and off-loads for Residents and crew of the vessel, among other duties.

Responsibilities

Marine Coordinator

  • Performs various Administrative tasks, including but not limited to attending, note-taking, and distributing minutes for essential meetings and managing orders and charges for crew & Residents
  • Ensures that all necessary Officers have up-to-date Marine Safe Manning licenses and endorsements on all fronts, maintaining hard and soft copes of all past and current regulatory documentation
  • Follows up to crew for maintenance of licensure, including follow-up to completions and subsequent renewals prior to expiration, and assisting with submission documentation as needed
  • Assists in organization and update of hard and soft copies of all Ship’s certificates and renewals, such as Port State Control and Public Health, ensuring that all documentation is ready and available for presentation in the event of a PSC and PH inspection
  • Assists with itineraries and crew vacation plans in accordance with upcoming ports, contract length and cabin allocation
  • Prepares budget projections, overtime calculation, funds distribution, and payment submissions as needed in conjuction with the Staff Captain and Chief Officer
  • Manage Supply Chain and Financials through creation of stock items, work orders in AMOS, purchase order management, update of products available, and budget reporting as required by onboard or shoreside management

Logistics Coordinator

  • Coordinates Resident On-load and Off-load requests in conjunction with the Clearance Officer, Resident Services Coordinator and Director of Supply Chain, assisting with transferring items to the respective destination or apartment in conjunction with the deck department
  • Coordinates the reception and distribution of technical deliveries during loading ports, ensuring that all items are delivered to the appropriate department
  • Prepares all necessary manifests, invoices, purchase orders, distribution of items, approval signatures of parties responsible, and all other required documentation for Offloads
  • Supervises charity and waste off-load end-to-end, including but not limited to scheduling, planning suitable ports, distributing, and maintaining thorough communication destination port facilities and vendors
  • Acts as the primary contact for all Residents concerning order requests, such as TV systems, appliances, white goods etc. to ensure ensure compatibility with the vessel’s systems
  • Liases with Staff Captain to manage pending insurance claims for Residents involving ordering and logistics of broken or lost property
  • Ensures that all areas are maintained in accordance with Company policy, Public Health (HACCP), SMS, safety and environmental regulations while maintaining full understaning of all policies and staying abreast of updates

Hiring Requirements

  • Proficient in written English communications, understanding of technical writing is a plus;
  • Previous experience in logistics on a fast paced, international environment
  • Familiar with business administration, office and project management
  • Good computer skills, including proficiency in MS Office and familiarity with the AMOS system
  • Able to manage multiple tasks at once, and excellent time management
  • Great organizational skills
  • Fluent in written and spoken English
  • Relevant STCW2010 courses up to date
