The Purchasing Coordinator is the link between the Purchasing Manager, Food, Beverage, Hotel &  Retail, our suppliers, and logistics partners within the relevant commodities. The primary function is to assist the Purchasing Manager, Food, Beverage, Hotel & Retail with the day-to-day supply chain operation while monitoring quality standard and timely delivery of products to the ship and freight forwarders. This position assists with the processing of purchase orders in MMS and also assists with administrative support such as order confirmation, invoice tracking and matching, coding invoices as well as creating new vendors in MMS.

Responsibilities

  • Receive, review and submit Purchase Orders and Requests for quotations
  • Ensure a timely confirmation process from suppliers as per the company’s confirmation requirements
  • Coordinate with suppliers and freight forwarders to ensure timely and accurate execution of invoicing and delivery of submitted purchase orders
  • Coordinate with suppliers to ensure all orders are 100% accurate and complete prior to shipping
  • Ensure all invoices are submitted by the relevant suppliers’ prior to shipping dates
  • Execute checks and balances between POs and invoices prior to the shipping of goods
  • Provide details of container shipments within one (1) week of container loading and advise the on-board Hotel Stores Manager and the Retail Manager
  • Verify that all arrangements for container shipments to the vessel are made in a timely manner
  • Provide the vessel, freight forwarders and customs with all the necessary documentation that is necessary and or requested

Hiring Requirements

  • AS/BS 2–4-year degree business or equivalent work experience
  • 1 – 3 years of experience in purchasing of hotel, raw materials, goods, logistics, and/or other services preferred
  • Strong ability to source products within the designated scope
  • Ability to create and establish reports
  • Strong knowledge of Excel/ Microsoft and email functionalities
  • Working knowledge of Fidelio Cruise preferred
  • Ability to calculate figures and amounts such as discounts, proportions and percentages
  • Attention to detail and follow-through
